You can share any project that you create with others. Explain Everything provides the opportunity for live collaborations with both users as well as people who don't have an account. Note The number of people able to collaborate simultaneously is up to 25, but we recommend smaller groups for now (it works best with 8). This is important for maintaining session stability. The quality of live collaboration also depends on the quality of the internet connection. We are constantly improving the technical capacity of this feature, so you can absolutely count on us gradually reducing those limits.
Types of access
Access to a project can differ depending on the invited audience and type of access you’d like to grant others. You can use different kinds of access for different audiences and combine them.
Note Anyone can join a shared project (even a person who hasn't got an Explain Everything account) if at least one person with an account is in the project at the same time.

Who can have access:
- Anyone with the link – this access will be given only to a person that has got a link to the project. It can be granted by you or anyone else given the link.
- Anyone at my organization – if you’re in a Group, you can share a project with all its participants. Therefore, only your Group will be able to access the project if provided with its CODE or a link to it.
- Only specified people – this type of access is given to only those individuals whose email addresses or usernames you provide.
Note If you don’t wish to share your project with anyone and keep it private, choose the Only specified people option and don’t add or remove anyone that was invited earlier.
Types of access:
- View only means that the person you invite to a project will be only able to access it as a viewer. All the tools and options that you normally find in the whiteboard, Zoom and the recording button will be unavailable for those you invite. They won’t be able to either edit or download the project.
TIP This mode will be the best for live presenting your whiteboard.
- View and download – an invited person will be able to view a project and download it as a copy that can be edited locally or opened in the online whiteboard. The audience will be able to view a project and whatever it is that you will be doing live on it, but won’t be able to collaborate live and edit anything in the original project.
TIP This mode can be useful in teaching scenarios when you’d like to present material and make it possible for the audience to review it later. You can also prepare homework for students who would access it after they download the project. They can edit it (solve it) and send it back to you.
- Edit means that an invited person can coedit the project in a live session. The invited audience will have full access to all the tools and options that you normally find in the whiteboard. They will also be able to move around on the canvas freely. If you leave the project, a person with the Edit type of access will become the host.
Tip The Edit mode is the best for a live collaboration on a whiteboard with others. Use it to brainstorm, solve a task together, engage students or create a presentation together.
Tip You can always invite specific people and personalize their access by adding them using emails or usernames. Their access can differ from general access for the audience with a link or all people from your organization.
How to set up permissions
Whenever you're in a cloud project, you can set all the access permissions for people who you'd like to Invite.
- While in a cloud project project, select the CODE button on the top of the screen to open the Collaboration menu.
- Select Access permissions from the menu.
- Choose who you’d like to grant access to by selecting one of the options.
- Then, select the icon with a small arrow to change the type of access for the chosen audience.
- If you choose Only specified people, you can invite them by selecting Add People in the Collaboration menu. To grant them the chosen type of access, select the icon with a small arrow in the box where you add them. You can also change the type of access for a person already invited or remove them.

When in My Drive
- Sign in at drive.explain everything.com.
- Select the three dot menu of a project you’d like to invite others to.
- Select Invite on the project’s menu.
- Click on the permissions box or the arrow [v] to set the general access permissions for the project.
- Click on the other icon to change the type of access for the audience.
- Select Save.
- Select Edit if you want to open the project.
- Select the CODE button on the top of the screen to open the Collaboration menu.
- Select Access permissions from the menu.
