A project that you create in Explain Everything can be shared with others. You can collaborate with them at the same time, let them co-create at their own pace, or simply present the project to them. A project that you share with anyone will always become a cloud project. Learn about the differences between local and cloud projects.
Tip A project can be shared with people that don’t have Explain Everything accounts. However, in order to keep their access, there must always be at least one person with an Explain Everything account in the project at the same time.
Inviting to a collaborative whiteboard – options
There are 3 ways to invite others to participate in a live collaboration on a whiteboard:
- Send them a Join CODE.
- Share an Invite Link.
- Add others using their email addresses or by searching specific users.
The Invite Link always includes a project’s CODE at the end of its address: https://expl.ai/. A CODE of a project is generated whenever it becomes a cloud project. In the web version of Explain Everything, every project you create is a cloud one.
Tip You can make a project a cloud one by simply selecting the Invite button and completing the action with the Start button. A project’s CODE will then appear in the right upper corner, so you can select it to copy it (iOS and Web), write it down, or dictate it in a direct conversation (Android and Chromebook). You can also make a link to instant share by adding the CODE after the slash to the address: https://expl.ai and sending it over to an invited person or a group.
Invite with a Join CODE
A Join CODE is a special combination of letters that are generated when a project is turned to a cloud project and can be therefore used by others if you decide to invite them.
- Select Invite & Collaborate on the Home tab or use the Invite button when you’re already in a project.
- Tap on the CODE that appears just beside the “Join Code” option.
- Select the way you’d like to share the Join Code: a) Send it using AirDrop, Messages, Mail or other applications. Follow further instructions to complete the action. It will become a clickable link that transfers directly to the project. b)Select Copy to save the code in your clipboard. Leave the project and paste the code in a direct chat or email to share it with a particular person or a group.
- Set up project access for others.
- Press Start. Others can now join the project.
Tip If a project is already a cloud project, its CODE will appear just in the upper right corner beside the Collaboration icon. Tap it or click on it to copy it and share it with anyone however is most convenient for you – i.e. by pasting it in a chat or email. You can also just dictate it instead of copying and pasting. Others can now join the project.
- Select Invite & Collaborate on the Home Screen to start a new project you’d like to cocreate with someone. If you’re already in the project, start from step 2.
- Select the Invite button .
- Write down the Join CODE or take a screenshot and send it to others via text message, in a chat or via email. You can also pass the CODE by dictating it over a voice chat.
- Set up the project access for others.
- Press Start. Others can now join the project.

Any project created in a web browser is a cloud one, meaning it has a CODE that you can use to invite others from the moment it’s created. There are a couple of ways you can share it with others.
When in My Drive
- Sign in at drive.explain everything.com.
- If you’re on the list mode of project view, change it to the tiles one. Select the three dot menu of a project you’d like to invite others to.
- Select Invite from the project’s menu.
- Set up project access for others.
- Click on Join CODE to copy it.
- Select Save. Others can now join the project.
- Select Edit to open the project to collaborate with others. Please keep mind that only people with an Explain Everything account will be able to enter the project if you’re not in it.
When inside the project
- Select the Invite button .
- Click on Join CODE to copy it.
- Set up project access for others.
- Select Save. Others can now join the project.
Tip For a fast invite, you can click on the CODE that appears in the upper right corner in a project, just beside the Collaboration icon.
Share an Invite Link
An Invite Link is built on the address: https://expl.ai and a CODE of a cloud project.
- Select Invite & Collaborate on the Home Screen or use the Invite button when you’re already in a project.
- Select Share.
- Choose how you want to send over the invitation link. Follow the instructions given to complete the action.
- Set up project access for others.
- Select Start. Others can now join the project.
- Select Invite & Collaborate on Home Screen to open a project you’d like to cocreate with someone. If you’re already in the project, start from step 2.
- Select the Invite button .
- Select Share.
- Choose a way to share the link from a popup submenu and follow any given instructions.
- Set up the project access for others.
- Select Start. Others can now join the project.

Add specified users
If you’d like to share your project only with a particular audience, use this option where you can invite them by email or the usernames of people from your Group.
- Select Invite & Collaborate on the Home Screen or use the Invite button when you’re already in a project.
- Tap on the “Invite others by email” field.
- Type the email address of a person you’d like to invite.
- Tap Add to complete confirming the email.
- Set up project access for others.
- Tap Done to complete the action.
Tip Disable or enable your microphone to chat or not with others. Tell them how to use it too.
- Select Invite & Collaborate on the Home Screen to open a project you’d like to cocreate with someone. If you’re already in the project, start from step 2.
- Select the Invite button .
- Type the email address of a person you’d like to invite.
- Set up project access for others.
- Tap Start to complete the action.
