As the Owner of a cloud project, you can control access to tools and features for people who connect to it. Once you set up the project's access permissions you can then set a scenario for the project and customize them on the fly.
There are 3 collaboration rules you can set that control how Participants will be able to interact with your project:
Additionally, if you're planning to broadcast your Explain Everything screen to other video conferencing apps, you can completely disable the Voice chat.
Note Scenarios and rules apply only to Participants. The Owner and the Host always have full access to all features. Learn more about roles and following in collaboration.
Choose a preset scenario
When you start your cloud project, you can choose from 3 preset scenarios that help you quickly set the way you want your collaboration to play out.
- Once you start your collaboration, select the CODE from the top of the screen.
- Select Scenario from the menu.
- Select one of the scenarios and choose Customize if you'd like to further modify the rules.
Available preset scenarios
Open Collaboration
This is the default scenario for all collaborations. All Participants with Editing access can edit the contents of the project, move around freely, and talk through the Voice chat.
Chose this scenario for group projects, brainstorming sessions, or anytime you'd like your audience to participate in the process.
Preset rules:
- Always follow the host - OFF
- No editing - OFF
- Muted microphones - OFF
- Voice chat - Enabled
Presentation
This preset takes away Participants' ability to move around the project or edit it. It also makes sure their microphones are muted at all times so that you can lead the way around the project. Enabled Voice chat means your audience will still be able to hear you.
Choose this scenario whenever you need to present the contents of your project and want to be sure that everyone always follows what you do and say.
Preset rules:
- Always follow the host - ON
- No editing - ON
- Muted microphones - ON
- Voice chat - Enabled
Interactive Broadcast
This preset lets you share your Explain Everything screen and not worry about overlapping audio as the Voice chat is completely disabled. It also lets you invite someone from outside Explain Everything to the project and make sure they're working on the same thing as you are.
Choose this preset whenever you're sharing your Explain Everything screen in other video conferencing apps and still want the ability to invite someone to edit the project with you.

Collaboration rules
Lock the ability to unfollow the Host
By default, Participants who join the collaboration follow the Host. You can control their ability to unfollow and move around the project freely.
- Select the CODE from the top of the screen.
- From the menu, select Scenario.
- Choose Customize to edit the rules.
- Toggle Always follow the host rule in the Collaboration Rules section.
Note When you enable Always follow the host you'll also lock the automatic Host assignment. This means that whenever the Owner leaves the project, no other Participant will get the Host role. Even if they have the Edit access permission. Learn more about roles in collaboration.
Take away the editing tools
Participants with the Edit access permission have the ability to use all of the tools in the project. You can take that away whenever you need.
- Select the CODE from the top of the screen.
- From the menu, select Scenario.
- Choose Customize to edit the rules.
- Set the No editing rule to ON in the Collaboration Rules section.
Keep microphones muted
You can make sure Participants' microphones are muted all the time. They will not be able to unmute themselves as long as this rule is enabled. Participants will still be able to hear the Owner and the Host when they're unmuted.
- Select the CODE from the top of the screen.
- From the menu, select Scenario.
- Choose Customize to edit the rules.
- Set the Muted microphones rule to ON in the Collaboration Rules section.
Collaboration features
These options control the availability of certain features for the whole project.
Disable the Voice chat
You can completely turn off the voice chat in your project. This means no sound will be transferred through the microphones in the collaboration and no one will be able to unmute themselves. Disable this feature whenever you're in a setting that doesn't need audio communication: during a live meeting, in the classroom, or whenever you're using another app that features a voice chat.
Note In order to disable the voice chat, your project will need to restart. Nothing will be lost. This will simply reconnect you and other participants to the project.
- Select the CODE from the top of the screen.
- From the menu, select Scenario.
- Choose Customize to edit the rules.
- Set the Voice chat feature to OFF in the Features section.
