Sometimes when trying to register an account with a CODE or an email from a whitelisted domain, you are informed that the Group Account has reached its license limit.
This happens when there are no available licenses left in the the Group Account you're trying to join. This article outlines what you can do to make sure your group has enough licenses (seats) and check whether they were distributed properly.
Check how many licenses are in use
Available to: Group Owners, Admins
Here's how you check what is the number of available licenses for your group and how many of them are in use.
- Sign in to your Admin account at Explain Drive.
- Check the number of available licenses (seats) under your Account Type.
- If there are no available licenses left, you can further check if they were distributed properly or simply add more licenses to your group (for Owners only).
Groups that register via email invitations, Google Classroom, csv upload, or whitelisted domain — update the list of registered people
Make sure the list of active accounts is up to date and there are no users that shouldn't be in your group.
- Sign in to your Admin account at Explain Drive.
- Scroll down to the User Management section.
- If your group is small, check for users that shouldn't be on the list and remove them.
- For large groups, you can remove users by reuploading an updated csv list or updating your user list from Google Classroom.
Groups that register via MDM or device CODE –– check the number of devices in use and register them again
You can re-register licenses on devices that were previously activated with a CODE. This way, if some of them weren’t supposed to be registered anymore (i.e. they were broken, sold, or lost) they will free up your license pool.
- Sign in to your Admin account at Explain Drive.
- Scroll down to the Devices section and see if the number of registered devices for your group is correct.
- If not, select Reset, next to the CODE than needs to be re-registered.
Note Make sure there are no additional licenses in use. If someone registered an account on an activated device and signed out, they will use up a license from the pool. Scroll back to the User Management section and check for accounts that shouldn't be there. If you'd like to block the registration you can do it via MDM or in the App Configuration panel.

This section doesn't apply to the Web Version of Explain Everything. MDM Deployment and device CODE registration aren't available for it.
